POSITION OVERVIEW

The Warehouse Coordinator reports directly to the Executive Director and is responsible for the day-to-day coordination of warehouse operations at the South Grenville Food Bank. This role ensures the efficient, safe receipt, storage, rotation, and distribution of food and products in alignment with organizational policies and direction from the Executive Director.

This position has flexible hours to ensure operational needs are met, with minimal lieu time required.

GENERAL RESPONSIBILITIES

  • Coordinates day-to-day warehouse operations in alignment with organizational policies and direction from the Executive Director.
  • Coordinates and trains warehouse-based volunteers in accordance with organizational volunteer policies and under the direction of the Executive Director.
  • Coordinates the receipt, storage, rotation, and dispatch of food and product inventory.
  • Provides timely, accurate operational reports and documentation to the Executive Director to support informed decision-making and Board reporting.
  • Reports monthly, or more frequently as required, to the Executive Director on inventory levels, equipment, pest control, volunteer hours, and any safety or operational concerns.
  • Maintains positive working relationships with food donors, suppliers, and partner agencies related to warehouse operations, escalating issues or opportunities to the Executive Director as appropriate.
  • Performs other related duties as assigned by the Executive Director.

SPECIFIC JOB RESPONSIBILITIES

  • Works with warehouse volunteers to ensure food safety, productivity, and quality in accordance with organizational policies and procedures.
  • Provides operational input and recommendations to the Executive Director related to warehouse policies and procedures and implements approved policies and procedures.
  • Orders products in a timely manner in accordance with approved budgets, purchasing guidelines, and direction from the Executive Director.
  • Reviews supplier pricing and availability and provides recommendations to the Executive Director.
  • Accurately documents all products purchased using approved tracking systems and spreadsheets.
  • Ensures all products received, shipped, and wasted are weighed and accurately documented.
  • Records all donated and purchased food in accordance with organizational reporting requirements.
  • Disposes of spoiled or recalled products in accordance with public health regulations and organizational procedures.
  • Maintains a clean, organized, and safe warehouse environment.
  • Rotates inventory by date within the warehouse, refrigerators, and freezers.
  • Ensures recyclable materials, including cardboard, cans, and bottles, are handled appropriately.
  • Trains new warehouse volunteers and provides ongoing guidance and support as required.
  • Maintains accurate and complete documentation related to volunteer training, equipment use, and operational tracking.
  • Ensures warehouse activities comply with applicable health and safety legislation and organizational policies, reporting concerns promptly to the Executive Director.
  • Adjusts work hours as required to accommodate changing operational priorities.
  • Must be available to work weekends and holidays if needed 

QUALIFICATIONS

  • Minimum of five (5) years of warehouse experience preferred.
  • Strong interpersonal and communication skills, both verbal and written.
  • Demonstrated organizational, planning, and delegating skills to ensure effective inventory flow and stock management.
  • Strong analytical and problem-solving abilities.
  • High level of honesty, integrity, and reliability.
  • Strong work ethic and ability to work in a fast-paced environment with changing priorities.
  • Ability to work under pressure and meet tight deadlines.
  • Proficiency with Microsoft Office tools (Excel, Word, Outlook).
  • Ability to safely lift items weighing up to 50 pounds using proper techniques.

WORKING CONDITIONS

  • Vulnerable sector criminal record check required.
  • Valid driver’s licence, proof of auto insurance, and driver’s abstract required.
  • Must have a vehicle they can use for the position 
  • Regular travel required between FFAFB locations (approximately 15–20 km apart).
  • Travel required to pick up and deliver food from partner agencies and food banks.
  • Occasional travel to other communities.
  • This opportunity is a 6-month contract, with possibility for extension
