The Role
We are seeking an experienced and detail-oriented Finance and Administration Manager to join our dynamic team on a part-time basis, working out of our Prescott office, starting as soon as available.

Reporting to the Director, the Finance and Administration Manager is responsible for the full-cycle financial operations of the organization. This includes payroll administration, accounting, financial reporting, budgeting support, and compliance with all legislative and funding requirements. The role serves as the lead for all financial matters, ensuring accuracy, accountability, and alignment with Employment Ontario and other funder expectations.

Key Responsibilities

Financial Operations & Reporting

  • Manage day-to-day accounting functions, including accounts payable/receivable, bank reconciliations, HST remittance, maintaining accurate general ledger records, and supporting month-end and year-end closing activities, adhering to deadlines
  • Oversee and collaborae with Accounts Payable/Receivable clerk
  • Prepare and maintain accurate financial records in accordance with generally accepted accounting principles (GAAP) 
  • Develop and control budgets for all projects to ensure contractual obligations are met
  • Complete monthly reconciliations and review with the Director
  • Support financial reporting requirements and compliance with Employment Ontario and other funded programs and contracts 
  • Prepare year-end working papers and supporting documentation for external accountants and/or auditors, and act as the primary liaison throughout the year-end process

Payroll and Benefits Administration

  • Carry out administrative activities associated with payroll, human resources and employee benefits:
    • Verify employee hours, track vacation and leave entitlements
    • Ensure compliance with all statutory deductions including CPP, EI, Income Tax and WSIB 
    • Handle the preparation and submission of ROE’s for all employee leaves through Ceridian, ensuring accuracy and compliance with applicable regulations
    • Ensure timely submission to the payroll service provider
  • Stay current with new government legislation for payroll 
  • Maintain accurate payroll records and ensure confidentiality of employee information 
  • Administer employee benefits programs, including enrollments, changes, and reconciliations 
  • Act as liaison with benefits providers and payroll service providers

Financial Oversight & Continuous Improvement

  • Maintain overall accountability for effective financial controls across the organization
  • Provide guidance to leadership on financial implications of operational decisions 
  • Identify opportunities to improve financial systems, processes, and reporting tools 
  • Monitor and ensure adherence to organizational financial policies and procedures 
  • Complete other duties as assigned by the Director

What You Bring

  • Post-secondary education in Accounting, Finance, or a related field (or equivalent combination of education and experience) 
  • Minimum 3–5 years of experience in full-cycle accounting and payroll administration 
  • Experience in an Employment Ontario environment considered an asset 
  • Strong knowledge of payroll legislation, statutory requirements, and financial compliance 
  • Proficiency with QuickBooks, including project accounting, and Microsoft Office 365
  • High level of accuracy, confidentiality, and attention to detail 
  • Good team player as well as the ability to work independently and manage multiple priorities
