The Ontario Secondary School Teachers' Federation (OSSTF) District 26 - Upper Canada is seeking a highly organized and detail-oriented Office and Financial Administrator. This position combines general administrative duties with essential accounting functions, including processing e-transfers, managing budgets, and collaborating with bargaining unit treasurers. The successful candidate will play a key role in supporting the day-to-day operations of the office while contributing to the financial management of the district.
Role & Responsibilities (including but not limited to):
Administrative Duties:
- Answer phone calls, direct messages, and greet visitors, providing information and assistance or referring inquiries to appropriate personnel.
- Maintain office calendars, coordinating meetings and events, including arranging logistics, preparing documentation, and managing catering.
- Provide general clerical support including data entry, filing, photocopying, collating, labelling, and dispatching correspondence.
- Prepare and maintain updates to our District website, reports from electronic or manual files, mailing lists, and databases.
- Ensure confidentiality in handling sensitive information in compliance with relevant legislation, including the Freedom of Information and Protection of Privacy Act.
- Perform other duties as assigned
Accounting & Financial Duties:
- Process approved e-transfers and payments for bills, vendors, and other financial obligations.
- Update and track committee budgets, providing financial summaries and reports as needed.
- Work closely with bargaining unit treasurers to ensure accurate financial reporting and coordination of expenses.
- Assist with preparing financial documents, reports, and budget forecasts.
- Support the Office with any accounting-related tasks as needed.
Education & Experience:
- Successful completion of college-level education, with at least three (3) years of experience in an administrative role, including some financial or accounting duties.
- Proven proficiency in Microsoft Office, particularly Excel, Outlook, Word, and calendaring.
- Experience with Sage accounting software required.
- Experience with website creation tools and experience working in HTML.
- Strong organizational skills with the ability to prioritize tasks and meet deadlines efficiently.
- Excellent written and oral communication skills in English.
- Ability to work collaboratively in a team environment and communicate effectively and courteously with members, staff, and the public.
- Familiarity with unionized environments or an interest in working within a unionized context is a strong asset.
Salary, Benefits & Working Conditions:
- Salary: $27,475 - $38,465 annually
- Hours: 30 hours /week
- Term: This is a permanent, recurring 10-month position, working from September through June each year, with an additional two days of work scheduled in the summer (typically one in July and one in August).
- Pension & Benefits: The successful candidate will be enrolled in the OMERS pension plan and receive benefits through OTIP (Ontario Teachers Insurance Plan).
- Occasional flexibility may be required to work outside regular business hours or with minimal notice for overtime.
- Location: This position is based at our office in Kemptville, ON, with the requirement to work on-site.
