RESPONSIBILITIES:

1.  Administrative Support to Board of Directors

  • Attends all Board and Committee meetings, records and transcribes minutes; collects, compiles and distributes information for Board packages and maintains all Board material
  • Prepares and circulates agendas and minutes, tracks follow-up actions and correspondence related to Board decisions and maintains Board and Committee records
  • Collects and maintains information for Board Orientation Manual
  • Handles confidential materials, sends faxes/emails, provides photocopies, makes telephone calls, and arranges logistics for meetings, travel, accommodation, refreshments, registration as required
  • Provides administrative coordination for the AGM including support to the Governance and Nominating Committee, distributes material, etc.
  • Maintains corporate Policies & Procedures, By-Laws etc.
  • Updates website to include Board content
  • Facilitates the development of progress reports and summaries for the Board
  • Tracks agenda items, records minutes and reports on new directions, policy shifts and restructuring within the health and social service sectors at the regional, provincial and federal levels;
  • Responsible for administrative logistics and clerical support for all Board and AGM activities, including related correspondence and membership maintenance

2.  Administrative Support to the CEO

  • Creates and maintains file system for CEO and the Corporation
  • Collects, files and prepares reports for the CEO as directed
  • Arranges internal/external meetings, inclusive of travel arrangements, accommodation, registration and refreshments as requested
  • Maintains the CEO schedule

3.    Administrative support to the Management team

  • Attends Management meetings, records and transcribes minutes; collects, compiles and distributes information and maintains all material

4.   Communications

  • Works with the CEO to ensure high quality communications to external partners, media and public
  • Works with the Leadership Team to ensure our Social Media presence is current and comprehensive

QUALIFICATIONS:

  1. Successful completion of a recognized administrative professional training course
  2. Three to five years advanced administration experience with progressive responsibility; preferably in a health setting.

  • Strong computer skills, including Microsoft Office Suite

  • Demonstrated interpersonal , listening and comprehension skills;
